StrataMail Automation: Email Parsing, Workflows, and Local AI

StrataMail Automation

Gateway-level services that turn email into structured work. Where StrataMail Hosting holds the mailbox and StrataMail Filter blocks threats, StrataMail Automation sits in the SMTP path on dedicated VPS infrastructure — parsing messages, extracting structured data, triggering workflows, and optionally running private AI on email content before delivery.

Automation runs on email gateway VPS systems, not inside any mailbox. That means it works with any downstream destination — your StrataMail Hosting, your Microsoft 365 tenant, your Google Workspace, or a third-party mail platform. Email passes through the automation gateway, gets processed, and lands in the inbox structured, routed, or already acted on.

Two Service Lines

Email Parsing & Workflows

For: teams drowning in structured email content — orders, tickets, invoices, alerts, form submissions.

  • Parse incoming email content (subject, body, attachments)
  • Extract structured data with rules, regex, or AI
  • Trigger n8n workflows, API calls, database writes
  • Route filtered messages to CRMs, ERPs, ticket systems
  • Custom integration with your existing stack

Local LLM Automation

For: organizations that want AI processing on email but cannot send content to cloud AI services.

  • Run language models on your own VPS or Proxmox cluster
  • Email content never leaves your private infrastructure
  • Summarization, classification, smart routing
  • Combine LLM reasoning with deterministic rules
  • Integrates with the same n8n workflows used in parsing

Where StrataMail Automation Fits

Automation is a gateway service. It sits in the SMTP path between the sender and the final mailbox. That gives it three properties that distinguish it from inbox-side scripts and rules:

Mailbox-agnostic

Works with any downstream destination: StrataMail Hosting, Microsoft 365, Google Workspace, or third-party mail. Switching mail platforms does not break your automation.

Acts before delivery

Processing happens while the message is in transit, before it hits the inbox. Structured data can be extracted and acted on without anyone opening the email manually.

VPS-based, sized to load

Each deployment is sized to your message volume and processing complexity. Local LLM workloads scale up to larger VPS or Proxmox builds; pure parsing fits on smaller infrastructure.

How It Relates to Other StrataMail Services

Service Where it runs What it does
StrataMail Hosting Mailbox infrastructure Stores the messages, serves IMAP/POP/SMTP/webmail
StrataMail Filter Gateway (in front of mailbox) Blocks spam, malware, and phishing before delivery
StrataMail Resilience Gateway (parallel to mailbox) Queues and serves mail during outage events
StrataMail Routing Gateway (SMTP path) Splits a domain across multiple mail platforms
StrataMail Automation (this page) Gateway (SMTP path) Parses, extracts, and triggers workflows from message content

Automation is often deployed alongside StrataMail Routing — routing sends the right messages to the automation gateway, automation processes them, then delivers to the mailbox of choice. The two services are designed to compose.

Who StrataMail Automation Fits

  • E-commerce operations processing order confirmations, supplier notifications, and shipping alerts as structured data
  • Support teams auto-categorizing inbound tickets, generating draft replies, populating CRM fields from email
  • Accounting teams extracting invoice data, matching payment notifications, automating reconciliation
  • Logistics and supply chain teams ingesting EDI-via-email feeds, tracking shipment notifications, alerting on exceptions
  • Privacy-sensitive deployments (legal practices, internal HR processes, vendor-managed data) where Local LLM processing on private VPS keeps content on-premise

Delivery Model

StrataMail Automation is a consulting-led service. Every deployment is custom to the message formats, business rules, and downstream systems involved. We do not sell shrink-wrapped parsing plans because no two automation projects look the same. Engagement always starts with a scoping conversation.

  1. Scoping call — review the email sources, formats, downstream targets, and volume expectations
  2. Sample analysis — we examine representative messages to understand the data shape and edge cases
  3. Architecture proposal — gateway VPS sizing, parsing logic, workflow design, integration plan
  4. Build & integrate — deploy the gateway, configure parsing rules and workflows, integrate with your stack
  5. Tune & hand off — refine accuracy with real production traffic, document operations, transition to ongoing support
